The 2018 203K Discovery Days Conference will be September 21-22, 2018 at Millennium Harvest House, Boulder Colorado.

Millennium Harvest House has offered all conference participants a discounted room block for discounted $159/night reservation deadline is September 1, 2108. The discounted rate is offered three days before and three days after the conference for those wishing to stay longer and enjoy the resort and area. Exhibitor set up will begin Thursday, September 20 at 6 pm. Exhibitors should be in place no later than Friday, September 21, at 7 am. Further details on set up and location will be emailed to registered exhibitors closer to the conference.

The exhibitor fee (as noted on the enclosed registration form) includes one table and one exhibitor badge. This badge allows access to all conference activities including breakfast, lunch and dinner on Friday, and breakfast and lunch on Saturday. Additional badges can be purchased for $100 each.

You will only be given badges for those individuals indicated on your registration form. Additional tables can be ordered for $50 each and must be kept in the same assigned area. Limit of two tables per exhibiting company. Electricity is available for an additional cost of $50.

On your registration form, please indicate the type of display you are bringing to the conference (i.e. backdrop/floor display, tabletop display, etc.). This will assist us in choosing where each exhibitor should be set up.

Exhibitor Space is on a first-come, first-served basis and tables will be assigned by the NAFHAC Office.

Please remember to send in a brief description of your products along with your registration form. Please also email us camera ready art for web and print materials.

Exhibitors are promoted throughout all conference marketing. The sooner you get your exhibitor registration form into us, the sooner your company information will be included!

Please read these carefully. Submission of your exhibitor registration form acknowledges your understanding and acceptance of all of these provisions and terms.

HOTEL RESERVATION DEADLINE: NAFHAC negotiates a special rate with our conference hotels. The cost of the hotel room is not included in your conference registration fees. You are responsible for making your own hotel arrange-ments. The deadline to make your hotel reservation at the special rate is clearly posted in all conference marketing materials. It is recommended that you make your hotel reservation as soon as you know you will be attending the conference in order to not miss the deadline. If you miss the reservation deadline, the hotel may offer a similar room at a higher rate. If that rate is not acceptable for you, please consider staying at a neighboring hotel.

EXHIBITOR SPACE: As an exhibitor you are given a six or eight foot table (depending on hotel and space) and two chairs. There is an additional charge for electricity or an extra table if needed. Space is assigned by NAFHAC however, we will work with you if you have a concern with your placement or wish to be placed next to or away from a specific vendor.

EXHIBITOR REPRESENTATIVES AND GUEST/SPOUSE FOOD POLICY: The exhibitor fee includes a badge for one repre-sentative. There is a charge for additional representatives. Spouses and guests of representatives are not permitted to have ANY food and/or beverages provided to conference attendees unless they have registered for the conference (there is a spouse/guest fee if interested). Also, no food is to leave the conference area. The exhibiting company will be invoiced automatically for the spouse/guest rate if either of these occur.

REGISTRATION CANCELLATION DEADLINE: All cancellations must be submitted in writing to by August 15 at 5 p.m. No refunds will be offered after this date. After this time, as long as the cancellation is received by Fri-day, September 7, we will happily move you to another NAFHAC conference within the same year.

EXHIBITOR INTRODUCTIONS: As time permits, exhibitors will have the opportunity to give a brief (1-2 minute) presentation on their company during the conference (usually Saturday morning, Saturday lunch, and Sunday morn-ing). Please be respectful of everyone’s time and keep your presentation within this time limit.

EXHIBITOR DRAWINGS / GIVEAWAYS: We conduct prize drawings after lunch on Saturday, Sunday morning and at the end of the last break on Sunday. If your company wishes to hold a drawing during these times, please let the NAFHAC staff know at the registration table so that arrangements can be made.

CODE OF CONDUCT: NAFHAC asks that all conference participants and exhibitors act respectful of others at all times. NAFHAC does not tolerate harassment in any form and reserves the right to expel participants who cause unnecessary disruptions during any part of the conference without refund of fees paid.

VIDEOS AND PHOTOGRAPHY: Any photo or videography taken at the conference may be used in future NAFHAC materi-als, on the NAFHAC website and/or on NAFHAC social media. We appreciate your consent to use these photos for the pur-pose of sharing and promoting the conferences.

SECURING YOUR BELONGINGS: The exhibitor hall is on a 24-hour hold beginning Friday and ending Sunday. The ho-tel will lock up the exhibitor hall after the meeting ends, however, we ask that you take any valuables and electronics with you each night. Neither NAFHAC nor the hotel are responsible for any stolen or damaged property.
